SafePay

Introducing SafePay - a simple, secure and streamlined way to collect payments with your Permission Click forms.

SafePayClick

Available in Essentials, Standard and Pro School Editions.

Permission Click SafePay is designed to give your parents a single, trusted experience when completing forms that require payment collection. Adding items and fees to be collected with form submissions is seamless in our drag and drop form builder, and does not require any costly setup or ongoing account fees.

Our PCI compliant solution routes funds directly from the cardholder to your settling bank account. This approach ensures that Permission Click does not store or have access to any cardholder information as an added measure of security. You can count on industry-leading fraud protection using the most advanced AI-powered detection system in the industry. Fees can be collected using a number of best in class providers including all major credit cards, and debit cards linked to partners such as Apple Pay, Google Pay, and Microsoft Pay.

Fees

A payment processing fee of $0.50 plus 5% per order applies to each online payment processed through Permission Click SafePay, plus applicable taxes for Canadian accounts. (These taxes are applied only to the Permission Click service component of the online fee.)

There are two approaches to managing fees. Below are examples for each approach where the school is collecting $10 for a Museum Field Trip in Canada.

  1. You can absorb the fees:

    • Set the Pass fees on to parent? toggle to “No”
    • Set the Parent Pays field to $10.00
    • The You Collect field estimates* that you will receive $8.95 per ticket
  2. You can pass the fees on to the purchaser:

    • Set the Pass fees on to parent? toggle to “Yes”
    • Set the You Collect field to $10.00
    • The Parent Pays field estimates* that the purchaser will pay $1.10 in fees and taxes

* These estimates assume that the parent purchases a single ticket in the transaction. The fee applies to the entire transaction (not each ticket), so if multiple tickets are purchased at once, the fee per ticket will decrease.

Option 1: Absorb Fees (Most Common)

You may choose to build the processing fees into your pricing. All respondents will pay the same amount regardless of their chosen payment method (online or by cash or cheque). This encourages your respondents to pay online and reduces the opportunity for theft and/or payment tracking errors.

When setting up your payment options, ensure Pass fees on to parent? is set to “No”, then enter the price you wish purchasers to pay in the Parent Pays field. The system will then auto-calculate the approximate processing fee for a transaction with a single ticket, and display how much you can expect to collect:

When fees are absorbed, parents will not see taxes and fees, nor will they see what You Collect. When completing the form they will only see the Parent Pays amount that you have entered:

Processing fees and taxes are only charged for online transactions and do not apply to payments made via cash or check.

Note: When fees are absorbed, the amount of money that you receive per ticket may vary slightly depending on the number of tickets ordered. For example, when a single $10.00 ticket is ordered, the total fees and taxes may come out to $1.05, leaving you with $8.95 per ticket. However, if a parent were to purchase two tickets, the fee for the order would only go up to $1.57, so you would receive about $9.22 per ticket.

Option 2: Pass Fees on to Purchaser

You may choose to pass the processing fees on to the purchaser. Since processing fees do not apply to payments via cash or check, this will result in different total prices based payment method, and may discourage respondents from paying online.

When setting up your payment options, ensure Pass fees on to parent? is set to “Yes”, then enter the price you wish to collect for each ticket in the You Collect field. The system will then auto-calculate the approximate processing fee for a transaction with a single ticket, and display the processing fee (including applicable taxes) that you can expect purchasers to see at checkout:

This option breaks down the fees clearly for those wishing to pay online. Those that wish to pay by cash or cheque will pay the subtotal listed. Those that prefer to pay online will pay the added processing fees:

Pass Along Fees 2

When fees are passed along to the purchaser, you always receive the same amount of money per ticket purchased, regardless of the number of tickets in an order.

When fees are absorbed, the purchaser does not see the processing fee at checkout, any any refunds that are issued will be for the full amount of the transaction. Since our payment providers do not refund the processing fees for online payments, your organization has to cover the cost of the transaction fee.

When fees are passed along to the purchaser, they see the processing fees and associated taxes (if any) listed at checkout, along with a notice indicating that these fees are nonrefundable. As a result, any refunds that are issued will be for the ticket price only, and your organization will not have to cover any transaction costs.

Reporting

Prior to the introduction of SafePay, fees were charged on a per-ticket (rather than per-order) basis. This allowed us to report on how much the purchaser paid and how much you received for each ticket sold.

Now that fees are charged on the order total, some of our reports have been updated to reflect the fact that the amount paid by the purchaser (and the amount you receive) are only available on a per-order (not per-ticket) basis, as the per-ticket price can effectively vary depending on the number of tickets in the order.

Here is the order summary for our example field trip when the processing fees are absorbed by the organization:

And here is the order summary for the same field trip where the organization has chosen to pass fees on to the purchaser:
